Managing Contractors

Maintain accurate contractor details so quotation requests, job communication, approvals, completion, and contractor invoices work smoothly.

Contractors are external companies or individuals who inspect, service, or repair assets. Their records connect quotation requests, submitted prices, job communication, approved work, and expenses to the correct provider.

Add a contractor

  1. Open Contractors from the main navigation.
  2. Select the option to add a new contractor.
  3. Enter the contractor or company name, address, email address, mobile number, contact person, and service notes.
  4. Include the correct international country code in mobile numbers used for SMS.
  5. Save the record and verify it appears in the contractor list.

Keep contractor records ready for requests

The quotation workflow relies on the contact details in the contractor record. An email request requires a valid email address, while an SMS request requires a valid mobile number. Review these details before an urgent request is needed.

Useful contractor information

  • Services, trades, equipment types, or locations covered.
  • Primary and alternative contact details.
  • Working hours, response arrangements, or call-out conditions.
  • Notes that help staff select the appropriate provider.
  • Current insurance, certification, or compliance documents where required.
Avoid duplicates: Search before adding a contractor during a quotation request. A single accurate record makes their quotation and invoice history easier to review.
