📤 Borrow Item
The Borrow feature is used when items are issued temporarily — with the expectation that they will be returned later. This is ideal for reusable equipment or consumables provided on loan to departments, wards, or staff.
🔄 What Happens When You Borrow an Item?
- The item is deducted from the source store’s inventory
- A borrow record is created and tied to a customer or user
- The return can be processed later from the borrow history page
🧰 Example Workflow: Technician Borrows BP Monitor
- Click Borrow on the Inventory Page
- Select the item: “Blood Pressure Monitor”
- Choose or enter the borrower (e.g., Maria – Technician)
- Enter quantity:
1
- Optional: add a reason or comment
- Click Borrow
The item is now marked as borrowed. It will show up in the Borrowing & Returns management page until returned.
👥 Who Can Use This?
- Ward Nurses borrowing items for short-term use
- Technicians using diagnostic devices
- Internal departments loaning stock across units
🔁 Returning Items
Returns are handled from the Borrowing & Returns Page, where users can:
- Click the original borrow record
- Click Return next to the borrowed item
- Enter returned quantity (partial returns supported)
This ensures traceability and accountability across departments.
🧠 Best Practices
- Always record the responsible user or department when borrowing
- Encourage timely returns by monitoring outstanding borrow reports
- Use the comments section to log condition or reason (e.g., “Lent for ICU setup”)
📄 Reporting and Audits
- Export monthly borrow logs for audit purposes
- Identify overdue returns by filtering outstanding items
- Track damage/loss via the comments and return notes
